Recently, the IRS has aggressively pivoted away from paper checks to improve security and speed. Electronic transfers significantly lower the risk of mail theft—a growing concern—and cut down on the administrative costs of printing and postage. For those without traditional bank accounts, the agency has even expanded options to include prepaid debit cards.

Using the Official Status Tool

Once we have filed your return and confirmed the IRS has received it, the clock starts ticking. The most reliable way to monitor your progress is through the official online portal.

Where’s My Refund? is the interactive tool located directly on the IRS website. Whether you split your refund across multiple savings accounts or sent it all to one checking account, this system provides near real-time visibility 24/7.

Timeline Expectations

If we e-filed your return (which is our standard recommendation), you can typically check your status 24 hours after the IRS acknowledges receipt. Statistically, nine out of 10 e-filed refunds with direct deposit are issued within 21 days. However, if you opted to file a paper return, you are looking at a much longer window—data typically won't appear in the system until four weeks after mailing.

What You Need to Log In

Security is tight, so you cannot access records by name alone. Have a copy of the tax return we prepared for you handy. You will need to input:

  • Your Social Security Number (or ITIN),

  • The tax year in question (currently 2025, 2024, or 2023),

  • Your filing status (e.g., Single, Married Filing Jointly, Head of Household), and

  • The exact whole-dollar refund amount shown on your return.

Decoding Your Status

Once you are in, you will generally see one of three stages:

  • Received: They have your return and are processing it.

  • Approved: The numbers have been confirmed, and a refund date is scheduled.

  • Sent: The funds are on their way. Allow up to 5 days for your bank to post the funds, or several weeks if you are waiting on a physical check.

The tool also provides specific prompts if there is a delay. For instance, if the “Sent” status has been active for more than 28 days and you still have empty hands, the system will guide you through starting a refund trace.

Mobile and Accessibility Options

For clients who prefer managing finances on their phone, IRS2Go is the official mobile app available for Apple and Android devices. It pulls from the same database as the desktop tool.

Furthermore, the IRS has ensured that Where’s My Refund? is accessible for visually impaired taxpayers, maintaining compatibility with Job Access with Speech (JAWS) screen readers and Braille displays.

When Should You Call?

It is tempting to call the IRS or our office for updates, but the phone representatives generally only have the same data you see online. The system updates once every 24 hours—usually overnight. Checking once a day is sufficient.
